Set up the core four before departure, on hotel or home Wi-Fi, so you are not downloading on arrival with no data. Trenitalia and Italo both sell high-speed and regional tickets in their own apps; buy the regional ones in the app rather than at the machine, and validate only paper tickets. Google Maps covers Italian addresses, bus stops and walking routes well, but transit timetables in smaller cities can lag behind the local operator's own app.
For taxis, licensed white cars are the rule and apps are the easiest way to book one: itTaxi and FreeNow work in the big cities, and Uber operates in a limited way in Italy, mostly with licensed drivers in major cities rather than the full service you may know at home. In Rome, Milan, Venice and other large cities, download the local transport app for tickets and times; Moovit or Tabnet are useful cross-city alternatives. Trenitalia's app also handles regional tickets, which is handy when a station machine queue is long.
WhatsApp is the default for restaurant, hotel and tour bookings, so keep it installed and your number active. For payments, use a card app that lets you set a travel notice and freeze the card instantly; contactless cards are accepted almost everywhere, but keep some cash for small bars and markets. For data, a travel eSIM or a prepaid SIM from TIM, Vodafone, WindTre or Iliad gets you online; buying in a shop needs a passport and an Italian tax code (codice fiscale), issued in-store. EU and EEA SIMs roam at home prices under EU rules; UK SIMs depend on your operator's deal.
